When You Need to Create Contacts

Most contacts are created automatically when customers book online. You only need to create contacts manually for:

  • Walk-in customers paying cash or check

  • Setting up offline payment subscriptions

  • Phone bookings for customers without internet access

  • Existing tenants you're migrating to Stortech

Required Information

Before creating a contact, gather:

Customer Details

  • First and last name (as on ID)

  • Phone number (10 digits)

  • Email address

  • Preferred language (French/English)

Address Information

  • Street address

  • City, province, postal code

  • Must be complete for invoicing

Step-by-Step Guide

Step 1: Access Contacts

From your facility dashboard:

  • Click Contacts in the main menu

  • Click Add New Contact or Create Customer

Step 2: Enter Customer Information

Name Fields

  • Enter exactly as appears on ID

  • Use proper capitalization

  • Include middle name if customer prefers

Phone Number Format ⚠️

  • Enter exactly 10 digits

  • NO spaces, dashes, or parentheses

  • ✅ Correct: 4389652147

  • ❌ Wrong: (438) 965-2147

Email Address

  • Double-check for typos

  • Verify customer has access

  • Used for all communications

Language Preference

  • Select French or English

  • Affects all future communications

  • Can be changed later if needed

Step 3: Add Address

Using Address Autocomplete

  • Start typing the street address

  • Select from dropdown suggestions

  • City/province/postal code fill automatically

Manual Entry If address doesn't appear:

  • Enter complete street address

  • Add city and province

  • Include postal code

Step 4: Save Contact

  • Review all information

  • Click Save Contact

  • Customer appears in your database

  • Ready for manual booking

Best Practices

Data Accuracy

  • Always verify spelling of names

  • Confirm phone number twice

  • Test email address if unsure

  • Match language to customer preference

Avoiding Duplicates

Before creating new contact:

  • Search by phone number

  • Search by last name

  • Check similar spellings

  • Update existing if found

Privacy & Security

  • Only collect necessary information

  • Keep customer data confidential

  • Don't share between facilities

  • Follow privacy regulations

Common Issues & Solutions

Phone Number Not Accepted

Problem: System rejects phone number Solution:

  • Remove ALL formatting

  • Count digits (must be exactly 10)

  • Don't include country code (+1)

  • Check for typos

Address Not Found

Problem: Autocomplete doesn't find address Solution:

  • Check internet connection

  • Try different format (number first)

  • Verify address exists in Google Maps

  • Enter manually if needed

Customer Already Exists

Problem: Duplicate customer warning Solution:

  • Search existing contacts

  • Update existing record instead

  • Merge if accidental duplicate created

  • Use consistent data entry

Email Delivery Issues

Problem: Customer not receiving emails Solution:

  • Verify email spelling

  • Check customer's spam folder

  • Confirm email is active

  • Try alternative email
