The Contacts page is your centralized customer database in Stortech. It stores information about all your customers, both current renters and past customers, making it easy to create bookings, track customer history, and maintain communication records.
Accessing Contacts
Log in to Stortech, select your facility (if you have multiple), and click "Contacts" in the left sidebar under Operations.
Contacts Table Columns
Name: Customer's full name displayed as "First Last", clickable to view full details.
Email: Primary email address used for invoice delivery and customer portal login.
Phone: Primary phone number used for SMS reminders if configured.
Status: Customer relationship status including Active (currently renting), Inactive (past customer with no active bookings), or Lead (prospective customer who never booked).
Adding a New Contact
Method 1 - Add Contact Directly: Click the "Add Contact" button in the top-right corner. Fill in the form with First Name (required), Last Name (required), Email (required and must be unique), Phone (optional but recommended), Address (optional), and Notes (optional for internal notes). Click "Save" to create the contact.
Method 2 - Add Contact During Booking: When creating a manual booking, go to Subscriptions, then Create Booking. In the Customer field, click "Create New Contact" and fill in the details. The contact is automatically created and selected for the booking.
Searching and Filtering
Use the search bar to search by customer name, email address, or phone number. Filter by status using All (default), Active (only customers with active bookings), or Inactive (past customers or leads).
Viewing Contact Details
Click any contact name to view: full contact information, booking history with all past and present bookings, invoice history with all invoices and payment status, and notes section for internal notes visible only to staff.
Editing Contact Information
Click the contact name, click Edit, update any fields (name, email, phone, address, notes), then click Save Changes. Note that changing email affects customer portal access and invoice delivery.
Deleting a Contact
You can only delete contacts who have no active bookings, no unpaid invoices, and no payment disputes. Open the contact details, click the three-dot menu, select "Delete Contact", and confirm. This action cannot be undone. Best practice: Keep contacts as "Inactive" rather than deleting to maintain historical records.
Contact Statuses
Active: Automatically assigned when customer has at least one active booking. They are currently renting and receiving monthly invoices.
Inactive: Automatically assigned when all bookings have ended. These are past customers good for re-marketing.
Lead: Manually assigned to website inquiries, phone callers, or abandoned booking attempts. These are potential customers for follow-up.
Importing Contacts in Bulk
Go to Contacts, click "Import", download the CSV template, fill in data with first_name, last_name, email (all required), plus optional phone and address. Upload the CSV, review the preview, and confirm import. The system validates for duplicate emails, invalid formats, and missing required fields.
Best Practices
Keep information current by updating phone and email when customers notify you. Use consistent formatting for phone numbers and names. Protect customer data by using secure passwords and logging out of shared computers. Use notes effectively for customer preferences and special arrangements.
Common Questions
Can multiple contacts share the same email? No, email addresses must be unique for login and invoice delivery.
What happens to contacts when a booking ends? The contact remains with "Inactive" status and can book again later.
How do I handle customers without email? Create a placeholder email, but they won't receive automated invoices and you'll need to print or mail them manually.
