Unit Numbering Best Practices

Logical Systems

By Building/Section

  • Building A: A101-A150

  • Building B: B101-B150

  • Easy for customers to find

By Floor

  • First floor: 100-199

  • Second floor: 200-299

  • Third floor: 300-399

Sequential Simple

  • 001, 002, 003...

  • Works for smaller facilities

  • Easy to manage

Tips for Success

  • Leave gaps for future expansion (e.g., use 101, 103, 105)

  • Avoid confusing combinations (e.g., 0 vs O)

  • Document your system for staff training

  • Consider physical layout when numbering

Access Code Management

Setting Codes

Individual Codes

  • Unique code per unit (most secure)

  • Random 4-6 digits

  • Avoid patterns like 1234

Shared Codes

  • Same code for multiple units

  • Easier to manage

  • Less secure

Code Security Tips

  • Change codes between tenants

  • Don't use easily guessed codes

  • Keep a secure record of all codes

  • Test codes after setting them

Managing Large Inventories

Phased Approach

If you have 100+ units:

  • Start with most popular sizes

  • Add units as needed

  • Keep some in reserve

Organization Tips

  • Create a spreadsheet backup

  • Document special features per unit

  • Note any maintenance issues

  • Track which units rent fastest

Common Issues

Duplicate unit number error

  • Each unit needs a unique identifier

  • Check existing units for conflicts

  • Consider adding prefix or suffix

Bulk creation not available

  • Feature may require certain account level

  • Contact support for access

  • Use individual creation as alternative

Access codes not working

  • Verify code format matches your system

  • Check with gate/lock provider

  • Test with known working code

Verification Checklist

After adding units:

  • [ ] All units appear in inventory

  • [ ] Unit numbers follow logical pattern

  • [ ] Access codes are set (if using)

  • [ ] Status is correct (Available/Maintenance)

  • [ ] Units visible on customer storefront
