Team and roles

Invite your team and assign the four available roles: Owner, Manager, Staff and Accountant, a read-only seat for your outside bookkeeper.

Written by Etienne Champagne

A role determines what each member of your team can do in Stortech. A facility has four available roles: Owner (full access), Manager (day-to-day operations), Staff (partial access) and Accountant (read-only on invoices, payments and reports). This article covers inviting members, assigning a role, changing it, or removing a member.

Who this article is for

Managing the team (invite, remove, change roles) typically requires the Owner role, or a Manager with invite permission. Staff typically see the Team tab read-only or not at all, depending on their configuration.

The four roles

Owner

Full access to every page and action. Can invite, remove, and change other members' roles. Can configure billing, fees, taxes, the Stripe integration. Cannot be demoted if they're the last Owner (safety rule).

Manager

Full access to day-to-day operations: bookings, invoices, contacts, units. Can configure most settings but not all (some sensitive financial settings may stay Owner-only). Can invite other members.

Staff

Partial or read-only access to operations. Depending on configuration, can view contacts, create tasks, but not edit billing or fees. Typically can't invite other members.

What changed for Staff. The create, void, refund and reminder buttons on invoices, editing promotions, and creating a new rental are no longer offered to a Staff member. Those controls used to render and work even though the role was never entitled to them; they now match the real permissions. In exchange, a Staff member now sees the Team tab read-only. Retrying a failed payment is still available.

Accountant

For your outside accountant or bookkeeper. Stortech describes it this way in the role panel: "Read-only access to invoices, payments, and reports. No access to settings or mutations."

In practice an Accountant can open your invoices, your payments and all of your reports, and nothing else: no button to create, edit, void or refund anything, and no access to the storefront. Give this role rather than a Staff seat when someone only needs to read and export your numbers.

Safety rules

The last Owner cannot be demoted

If you try to demote the facility's only Owner, Stortech blocks the action with "Cannot demote the last owner". To work around it: first promote another member to Owner, then demote the original Owner.

You cannot change your own role

To prevent mistakes, the message "You cannot change your own role" shows. Ask another Owner to do it.

Removal is immediate and without notice

Clicking Remove revokes access immediately. There is no grace period or delayed confirmation.

What happens automatically

On invitation: an email is sent to the recipient with an acceptance link.

On acceptance: an account is created (or linked to an existing one) and the member shows as Active.

On role change: the new permissions apply immediately; the user may need to refresh the page.

On removal: access is revoked server-side; active sessions are invalidated on their next request.

Common questions

How do I invite a new member to my team? — Under Settings > Team, enter the email address, choose a role (Owner, Manager, Staff, or Accountant), and click Invite. The member gets an invitation email with an acceptance link.

What's the difference between the four roles? — Owner: full access, can configure billing and invite other members. Manager: full operational access (bookings, invoices, contacts, units) plus the right to invite. Staff: partial access based on detailed permissions. Accountant: read-only on invoices, payments and reports, with no access to settings.

How do I change an existing member's role? — On the member's row, click the current role. A panel opens with a role selector and a permissions preview by category. Choose the new role and apply.

Why can't I demote the last Owner? — A facility must always have at least one Owner. Promote another member first, then demote the original Owner.

Why can't I change my own role? — Safety. To prevent accidentally removing your own access, ask another Owner to do it.

The invited member didn't receive their email. What do I do? — Check the entered address, check the facility's Emails tab, ask them to check spam. Re-invite if needed.

A member wants to leave the facility. How? — The member can't remove themself. An Owner or Manager must click Remove on their row.
