Roles determine what each member of your team can do in Stortech. A facility has three available roles: Owner (full access), Manager (day-to-day operations), and Employee (partial or read-only access). This article explains how to invite members, assign them a role, change it, or remove them.
Common questions
How do I invite a new member to my team? In Settings > Team, enter the email address, choose a role (Owner, Manager, or Employee), and click Invite. The member receives an invitation email with an acceptance link.
What's the difference between the three roles? Owner: full access, can configure billing and invite other members. Manager: full operational access (bookings, invoices, contacts, units) plus the right to invite. Employee: partial or read-only access depending on detailed permissions.
How do I change an existing member's role? On the member's row, click the current role. A panel opens with a role picker and a permissions preview by category. Pick the new role and apply.
Why can't I downgrade the last Owner? A facility must always have at least one Owner. Promote another member first, then downgrade the original Owner.
Why can't I change my own role? Security. To avoid accidentally removing your own access, ask another Owner to do it.
The invited member didn't receive the email. What now? Check the address entered, check the facility's Emails tab, ask them to check spam. Re-invite if needed.
A member wants to leave the facility. How? The member can't remove themselves. An Owner or Manager has to click Remove on their row.
Who this article is for
Managing the team (invite, remove, change roles) typically requires the Owner role, or a Manager with invite permission. Employees see the Team tab as read-only or not at all, depending on their configuration.
The three roles
Owner
Full access to every page and action.
Can invite, remove, and change other members' roles.
Can configure billing, fees, taxes, Stripe integration.
Cannot be downgraded if they are the last Owner (security rule).
Manager
Full access to day-to-day operations: bookings, invoices, contacts, units.
Can configure most settings but not all (some sensitive financial settings may stay reserved to the Owner).
Can invite other members.
Employee
Partial or read-only access to operations.
Depending on configuration, can see contacts, create tasks, but not edit billing or fees.
Typically can't invite other members.
View the team
Open Settings > Team.
The Team members page shows a table with:
- Member, name and email. - Role, Owner, Manager, or Employee. - Status, Active or Invited. - Actions, Remove button.
If you're alone, the message "You're the only member. Invite your team to collaborate." is shown.
Invite a member
Enter the email address in the field.
Pick a role (Owner, Manager, or Employee). By default, Employee.
Click Invite.
A notification confirms "Invitation sent to {email}".
The recipient receives an invitation email. Until they accept, their status shows Invited.
After acceptance, the status moves to Active.
Change a member's role
On the member's row, click the current role ("Click to change role" link).
A Role of {name} panel opens with:
- A role picker. - A Permissions section showing the preview of the chosen role's permissions, organized into categories: Company and operations, CRM and tasks, Subscriptions, invoices, and payments, Reports and analytics, Booking site, Settings and team, API and integrations. - Each category has a Full, Partial, or None badge. - See details expands to show the specific permissions.
Pick the new role and click Apply.
A notification confirms "{name} is now {role}".
Remove a member
Click Remove on the member's row.
A Remove a member dialog asks for confirmation: "Are you sure you want to remove {name} from this facility? Access will be revoked immediately."
Click Remove to confirm, or Cancel to exit.
The member's access is revoked immediately.
Security rules
The last Owner cannot be downgraded
If you try to downgrade the only Owner of the facility, Stortech refuses the action with the message "Cannot downgrade the last owner". To work around:
Promote another member to Owner first.
Then downgrade the original Owner.
You can't change your own role
To prevent mistakes, the message "You can't change your own role" is shown. Ask another Owner to do it.
Removal is immediate and without notice
Clicking Remove revokes access immediately. No grace period or delayed confirmation.
What happens automatically
On invitation: an email is sent to the recipient with an acceptance link.
On acceptance: an account is created (or linked to an existing account) and the member appears as Active.
On role change: new permissions apply immediately; the user may need to refresh the page.
On removal: access is revoked server-side; active sessions are invalidated on the next request.
