Send a broadcast email

Send one email to a group of contacts from the Contacts page, targeting recipients by relationship, by rental, or by unit type.

Broadcast sends one email to many contacts at once: a maintenance notice, a change to access hours, a note to your tenants. You choose who receives it with filters, or by picking contacts one by one.

Who this article is for

The Owner, Manager and Staff roles can all send a broadcast. If the Broadcast button isn't on your Contacts page, ask an Owner on your team to check your permissions.

Before you start

A broadcast sends real emails, immediately, under your brand. There is no draft and nothing to undo once it's sent.

​

Only contacts who have an email address are counted and reached. A contact with no address is skipped, even when they match your filters.

​

Send a broadcast

Step 1.
From the left menu, open Contacts, then click Broadcast at the top right of the list.

Step 2.
Choose how to name your recipients: By filter for a group described by criteria, or Manual selection to search for and add each contact yourself.

​

Step 3.
In By filter mode, set the filter row. The first menu targets the relationship (All contacts, Customers only, Leads only). The second targets the rental (All, Active tenants, No rental). The third, All types, targets one or more unit types.

Step 4.
Below the filters, the recipient count recalculates on every change. Click it to expand the exact list of contacts who will receive the email.

Step 5.
Write the subject and the message, then click Send to N contacts.

​

Step 6.
The confirmation screen restates the active filters and the recipient count. Read it over, then click Confirm and Send.

Target the tenants of one unit type

When your notice only concerns part of the site (the 10x10 row being repaved, the heated block losing heat for a day, a change that only affects one size), target just the tenants of those unit types instead of emailing everyone.

Step 1.
In the filter row, click All types.

​

Step 2.
Check one or more unit types. The search field at the top of the list helps when you have many of them.

​

Step 3.
As soon as a type is checked, the rental filter switches to Active tenants and greys out, with the note "Filtering by unit type only targets active tenants". A unit type can only point at people who are renting, so the combination is locked for you.

Step 4.
Check the recipient count, then write and send as usual. The confirmation screen names the types you picked, for example Unit types: 10x12, 5x5.

​

To go back to a wider send, uncheck the types. The rental filter becomes editable again and stays on Active tenants; change it if you need to.

​

After the send

Once the send finishes, the screen shows a breakdown instead of a plain confirmation: how many emails went out, and where they apply, how many failed, how many are unconfirmed, how many addresses were skipped, and whether the list was capped at 2,000 contacts.

Unconfirmed does not mean failed: Resend has not yet reported a status for that email. Don't resend the broadcast for those addresses. A confirmed failure can be retried safely; an unconfirmed one may already have arrived, and resending it risks delivering the same email twice. Check the recipient's inbox or their contact record before resending anything.

​

Skipped counts contacts with no valid email address, including the temporary @billing.stortech.io addresses assigned during a migration. At a recently migrated site, a nonzero skipped count is expected, not a sign of a problem.

What happens automatically

Several checked types add up: a tenant renting at least one of the chosen types receives the email. They receive it once, even when they rent several of the targeted units.

​

A tenant whose move-in is scheduled for later does not count as an active tenant: they won't get a notice meant for today's occupants.

​

The email's wrapper (header, footer) follows the contact's language. Your subject and message go out exactly as you wrote them, with no translation.

​

Recipients are recalculated at send time from your filters. If a move-out or a transfer happens between your review and your click, the situation at send time is what counts.

Common problems

The rental menu is greyed out and I can't change it.

​

Check: is a unit type checked under All types?

​

Do: uncheck the unit types. The rental menu becomes editable again.

​

The count shows "No contacts match these criteria".

​

Check: do the chosen types have tenants right now? Is the relationship filter too narrow (for example Leads only combined with a unit type)?

​

Do: widen the relationship filter to All contacts, or check a different unit type. The send button stays inactive as long as there are no recipients.

​

A tenant I targeted didn't receive the email.

​

Check: do they have an email address on their record? Has their move-in already started?

​

Do: add the missing address on the contact's record, then send again. A tenant moving in later isn't included in Active tenants.

​

The send fails with an error message.

​

Check: have you already sent several broadcasts in the past hour?

​

Do: the limit is 10 broadcasts per hour per location. Wait, then try again.

​

I have more than 2,000 recipients.

​

Check: does the confirmation screen show a yellow warning?

​

Do: one send reaches at most 2,000 contacts. Tighten your filters (by unit type, for instance) and send in several passes.

​

The send reports failures or unconfirmed emails.

​

Check: the summary shown after the send separates failures (invalid or rejected address) from unconfirmed (no status back from Resend yet).

​

Do: for a confirmed failure, fix the address and resend to that contact only. For an unconfirmed one, don't resend anything until you've checked the recipient's inbox or their record: resending can deliver the same email twice.

​

Common questions

Can I target several unit types at once? Yes. Check as many as you need: a tenant renting at least one of the checked types receives the email.

​

Why does the rental filter lock onto "Active tenants"? Because a unit type can only point at people renting right now. Any other value would return zero recipients, so the filter is set for you.

​

Does a tenant renting two units of the same type get two emails? No, just one. The count is a number of contacts, not a number of units.

​

Does manual selection take the unit type into account? No. In Manual selection, only the contacts you add receive the email; the filters are ignored.

​

Can I see exactly who will receive the email? Yes. Click the recipient count below the filters to expand the list of contacts, with their email addresses.

​

How many contacts can one send reach? Up to 2,000 per send, and 10 sends per hour per location.
