When you migrate a site from another software, your tenants’ billing history can be imported into Stortech. Those older invoices appear alongside your Stortech invoices, clearly separated, and serve as reference only: they cannot be edited or collected.
Who this article is for
Owners and managers of a site migrated from another software. The history is imported by the Stortech team during the migration, so there is nothing for you to set up. If your site has no imported history, the sections described here simply do not appear.
Where to find the history
On a customer record
Step 1.
From Contacts, open the customer record.
Step 2.
Click the Invoices tab. The history does not appear on the Summary tab, which only shows the most recent Stortech invoices.
Step 3.
Scroll below your Stortech invoices. A dashed line labelled pre-Stortech separates the two: everything below it comes from the previous software.
On a rental
Step 1.
From Rentals, open the rental.
Step 2.
Click the Invoices tab. The same separator and the same rows appear, filtered to that rental.
The twelve most recent rows show first. If there are more, Show full history expands them and Show less history collapses them again.
Reading an imported row
Reference — the number as it existed in the previous system, then what the row billed and where it came from, for example Rent · SiteLink or Late fee #2 · SiteLink.
Amount — the row total. If it was only partly paid, the amount received appears underneath, for example $50.00 paid.
Date — the row’s date in the previous system. Below it, Settled on for a paid row, or Last payment on when a balance remains.
Status — the state reported by the previous system, mapped to Stortech’s vocabulary. Hover the pill to see the original detail: the previous software’s exact wording, the payment method and the amount received, for example Partiel · Comptant · $50.00 paid of $125.32.
An imported row is not clickable: there is no record to open, no PDF, and no receipt to resend. That is deliberate.
What your tenant sees
In the customer portal, the imported history appears in its own section titled History (previous system), below the Stortech invoices, marked “For reference only”.
The section is deliberately kept apart: an old unpaid row placed in the current list would read as a second bill to pay. The tenant sees no payment button there, and the name of the previous software is not shown to them.
What happens automatically
Imported history is an inert archive. It enters no calculation.
It does not change the customer balance, the outstanding invoices, or your revenue reports.
It triggers no late fee, no reminder, and no gate access suspension.
It is not synced to QuickBooks.
An Open row is a historical fact, not a receivable. Any balance genuinely owed at migration time is carried over separately, as a real Stortech invoice.
Statuses and key fields

These statuses are snapshots taken at migration time. They will not change again.
Common problems
I see no history on a customer record.
Check: you are on the Invoices tab and not on Summary, which does not show imported history.
Do: if the Invoices tab shows nothing either, that customer has no imported history. Rows are matched by email, unit and name, so a tenant with no email in the previous software may not have been matched. Write to support with the name and the unit.
An amount does not match what I had in the previous software.
Check: hover the status pill, which shows the original wording, the payment method and the amount received exactly as the previous system recorded them.
Do: report it to support before correcting anything by hand. History cannot be edited from Stortech.
A tenant tells me they still owe an old invoice.
Check: an Open row in the history is not an invoice to pay. Look at their current Stortech invoices.
Do: if a migration balance is genuinely owed, it exists as a real Stortech invoice. That is the one to settle.
Common questions
Can I collect an old invoice from Stortech? No. The history is read-only. Anything still owed after the migration is carried over as a real Stortech invoice.
Do my tenants see the name of my previous software? No. The portal shows “History (previous system)” without naming it. The name appears only on your side.
Can I edit or delete an imported row? Not from the interface. Write to support if a row is wrong.
Does the history appear in my reports? No. Revenue reports, taxes and QuickBooks count only Stortech invoices.
Can I download the original PDF? Not at this time. Imported rows show the data, with no document to download.
