How the Lease Contract Works

Overview

Stortech automates the lease contract process for your customers. You provide your own lease document (PDF), and we handle the rest: adding dynamic fields, pre-filling customer information, and collecting electronic signatures — all automatically during the booking process.

This article explains how the lease works from setup to signature, what your customers see, and how you stay in control of your own terms.

Your Lease, Your Rules

Every facility has its own lease contract. Stortech does not impose a generic template. Here's how it works:

  1. You provide your lease PDF — your own document, with your own terms, conditions, fees, and rules

  2. We create a digital template from it — adding dynamic fields (customer name, unit number, price, dates, etc.) and electronic signature boxes

  3. The template is linked to your facility — every booking at your facility uses your lease

This means your lease can include whatever you need: specific cancellation terms, insurance requirements, administrative fees, deposit conditions, house rules, etc. Each facility can have a completely different lease.

What Your Customers See

Before Payment

During the online checkout, before the customer pays, they see a link to view your lease conditions:

"En procédant, vous acceptez les conditions du bail."

The words "conditions du bail" are a clickable link. This lets the customer read your lease terms before committing to payment. They don't need to sign at this stage — it's for transparency so they know what they're agreeing to.

After Payment

Once the customer completes payment:

  1. 1. Stortech automatically fills in your lease template with the booking details:

    • Customer name, email, phone, address

    • Unit number and type

    • Monthly rental price

    • Move-in date

    • Insurance selection (if applicable)

    • Any other dynamic fields configured in your template

  2. The pre-filled lease is sent to the customer for electronic signature via their move-in confirmation email

  3. The customer clicks the signing link, reviews the pre-filled document, and signs electronically

  4. The signed PDF is stored in Stortech and linked to the booking

Checking Lease Status

You can check whether a customer has signed their lease at any time:

  • From the Subscriptions list: Look at the "Lease" column — it shows "Signed" (green badge) or a dash if unsigned

  • From a booking's details: Click the "Documents" tab to see the signature status and download the signed PDF

  • Quick filter: Use the "Unsigned lease" filter on the Subscriptions page to see all bookings with pending signatures

Manual Bookings

For bookings created manually (offline payments, cash, check), the automatic e-signature process does not apply. For these bookings:

- You handle the lease signing yourself (paper signature or your own method)

- You can upload the signed document from the booking's Documents tab

- The lease template is only sent automatically for online checkout bookings (Auto method)

Setting Up Your Lease

To configure the lease for your facility, contact the Stortech team. We'll need:

1. Your lease document (PDF format)

2. Which fields you want auto-filled (customer name, unit details, price, dates, etc.)

3. Where you want the signature boxes placed

Once set up, every new online booking at your facility will automatically use your lease template.

Common Questions

Q: Can I use a different lease for different unit types?

A: Currently, one lease template is configured per facility. If you need different terms for different unit types, include all variations in your document or contact support to discuss options.

Q: What if a customer doesn't sign the lease?

A: The booking is still active — payment was already collected. You can track unsigned leases using the filter on the Subscriptions page and follow up with the customer. You can also resend the lease from the booking details page.

Q: Can I change my lease template?

A: Yes. Contact the Stortech team with your updated PDF and we'll update your template. New bookings will use the updated version. Existing signed leases are not affected.

Q: Is the electronic signature legally valid?

A: Yes. Stortech uses BoldSign for electronic signatures, which meets legal requirements for electronic contracts in Quebec and Canada.

Q: What if I don't want to use the lease feature?

A: The lease is optional. If no lease template is configured for your facility, bookings proceed normally without sending a document for signature.

Q: Can I add my own fees (administration, file opening, etc.) to the lease?

A: Your lease document can include whatever terms and fees you want. However, automated billing through Stortech currently covers: unit rental, security deposit, insurance, and applicable taxes. Any additional fees mentioned in your lease would need to be collected separately or configured with the Stortech team.
