Inspection is the required step between a scheduled move-out and the actual release of a unit. It lets you confirm the physical state of the unit after a customer leaves: ready to rent again immediately, or needing cleaning or repairs. Until the inspection is done, the unit stays locked in Stortech even if the customer has physically left.

Who this article is for

Inspection requires the Owner or Manager role. If the Start inspection button is missing, ask an Owner on your team.

Before starting the inspection

The rental must have a scheduled move-out: the Inspection card appears on the record only after scheduling. See Schedule a move-out. The physical inspection of the unit must also be done — you've visited the unit and confirmed its condition.

Start the inspection

Step 1.
Open the rental's record.

Step 2.
On the Summary tab, find the Inspection card.

Step 3.
Click Start inspection. The Unit inspection dialog opens, subtitled "Confirm the unit's condition to release it and make it available for the next rental."

Choose the status

Step 1.
Choose a Status from the two options: Ready to rent (unit is clean, empty, and ready to be rented again — becomes Available) or Needs cleaning/repair (unit needs cleaning or repairs — becomes Unavailable until you manually restore it).

Add details or photos (optional)

Step 1.
The Details (optional) field offers "Describe the work to be done or exceptions." Enter any useful note here.

Step 2.
Click Attach photos to upload condition photos. While uploading, the button shows Uploading…. If there's an issue, Upload failed appears. Use Remove photo to remove a photo added by mistake.

Finalize

Step 1.
Click Finalize move-out. The button shows Finalizing… while it runs.

Step 2.
The dialog closes and the record shows the final state. A notification confirms "Inspection completed successfully."

To exit the dialog without changing the unit's state, click Cancel.

What happens automatically

With "Ready to rent"

The unit becomes Available and is visible again in the storefront for the next rental. Gate access is permanently removed for the outgoing customer. The deposit (if any) is settled separately — see Deposit settlement.

With "Needs cleaning/repair"

The unit becomes Unavailable and is not shown in the storefront. Gate access is permanently removed for the outgoing customer. Once the unit is restored, open it and change its status to make it available again — see Units.

Documents and notes

Photos added to the inspection are stored on the rental's record, in the Documents tab. Details entered are kept in the rental's activity history.

Common issues

The unit stays Unavailable even though I chose Ready to rent.

What to check: does the record's Activity tab show the finalization succeeded?

What to do: if finalization failed, redo the inspection. If it succeeded but the unit remains unavailable, contact support.

The Start inspection button doesn't appear on the record.

What to check: is the move-out scheduled? Is the inspection already completed?

What to do: if the move-out isn't scheduled, see Schedule a move-out. If the inspection is already completed, the button disappears as expected.

Uploading a photo fails.

What to check: is the file size reasonable? Is your internet connection stable?

What to do: try again with a smaller photo or a better connection. If the problem persists, contact support.

Frequently asked questions

How do I start a unit's inspection after a customer moves out? On the rental's record, open the Summary tab and click Start inspection on the Inspection card.

What's the difference between Ready to rent and Needs cleaning/repair? Ready to rent makes the unit immediately available. Needs cleaning/repair marks it unavailable until you manually restore it.

Why doesn't the Inspection card appear on a rental's record? Either the move-out isn't scheduled yet, or the inspection is already completed.

How do I add photos to an inspection? In the dialog, click Attach photos. Photos are stored in the rental's Documents tab.

Does the inspection automatically settle the deposit? No. Deposit settlement is a separate step. See Deposit settlement.

No photo is required but I still want to record the condition. How do I do that? Enter a full description in Details even without a photo. Photos remain optional.
