When a tenant schedules their own move-out

What happens on the operator side when a tenant schedules their move-out from the customer portal: where to see it, what stops the billing, and what the inspection actually controls.

A tenant can schedule their own move-out from the Customer portal, without going through you. The rental then follows exactly the same path as if you had clicked Schedule move-out yourself: same dates, same notice calculation, same inspection step. This article covers only what changes on your side.

What the tenant can and cannot do

The tenant picks their physical move-out date. Stortech then calculates the last day billed from your notice policy, exactly as it does in the operator dialog.

The tenant cannot skip the minimum notice. That option belongs to the operator. A tenant who wants to leave without notice has to contact you, and you are the one who waives it if your policy allows.

​

The tenant cannot schedule a move-out on a rental that hasn't started yet, or on one that already has a move-out scheduled.

Where to see move-outs your tenants scheduled

The Scheduled move-outs report

This is the view to check regularly so nothing slips by. It lists every active rental with a scheduled end date, no matter who scheduled it.

Open Analytics > Reports.

Adjust the window if you want to look further ahead than the next few months.

Each row shows the tenant, the unit, the move-out date and the number of days left. This is where you plan your inspections and your re-listing.

The rental's page

As soon as the tenant confirms, their rental moves to the Ending soon status and the Access ends and Last day billed fields appear in the Rental panel, just as they would for a move-out you scheduled yourself.

The Rental section shows the access-ends date and the last day billed. Here the move-out is 1 November and billing covers through 31 October inclusive.

The emails that go out

As soon as the tenant confirms their move-out in the portal, two emails go out.

​

You get a move-out notice. It shows Scheduled By: The customer (online account), the tenant's name, the unit, the move-out date and the notice period your site applies. An Open booking button takes you straight to the rental. The notice also tells you whether the confirmation reached the tenant: if they have no email address on file, or if the send could not be confirmed, it says so, so you can reach them another way.

The tenant gets a move-out confirmation. It restates the physical move-out date and, when billing runs past it, shows the last day billed on its own line. That is what keeps them from reading their move-out date as their last billed day.

A reminder is also emailed to you 7 days before the move-out date. For a move-out scheduled at short notice, or simply to stay ahead, rely on the Scheduled move-outs report rather than on these emails.

What stops the billing

This is the point most often misunderstood, so let's be direct.

​

Billing covers the last day billed, and nothing else stops it. That date is set when the move-out is scheduled, and it's visible on the rental's page. Any payment scheduled before that date will be collected normally.

​

The inspection does not control billing. Skipping the inspection does not extend billing, and doing it does not stop billing sooner. The inspection controls two other things: when the unit becomes available to rent again, and the settlement of the security deposit, if there is one.

​

Put another way: if a tenant has left and was still billed, the cause is the last day billed calculated from your notice period, not a forgotten inspection. The physical move-out removes access; billing follows the cycle that is valid under your policy.

If you decide that notice period shouldn't apply to a particular case, you can refund or credit the invoice concerned. Stortech never creates an automatic pro-rated refund. See Invoices.

On the move-out date

The rest is identical to a move-out you scheduled yourself.

Step 1.
Open the rental's page from Rentals or from the Scheduled move-outs report.

​

Step 2.
Click Start inspection.

​

Step 3.
Choose Ready to rent or Needs cleaning/repair.

​

Step 4.
Click Finalize move-out.

​

Cancelling a move-out your tenant scheduled

As long as the move-out isn't finalized, you can cancel it from the rental's page with the Cancel move-out button, or change its date. The rental becomes active again and the scheduled last day billed is removed.

Once the inspection is done and the move-out finalized, it can no longer be cancelled. If the tenant comes back, create a new rental.

Common questions

Do I have to do the inspection for the tenant to stop being billed? — No. Billing stops after the last day billed, independently of the inspection. The inspection is what makes the unit available again and settles the deposit.

​

A tenant left and was still billed. Why? — Their last day billed was later than their physical move-out, because of the notice period or the billing cycle. Open their rental page: the exact date is shown there. You can refund or credit the invoice concerned if you want to.

​

How do I make sure I don't miss a move-out a tenant scheduled? — Check the Scheduled move-outs report under Analytics > Reports. It lists every upcoming move-out, scheduled by you or by your tenants.

​

Am I told right away when a tenant schedules their move-out? — Yes. A move-out notice is emailed to you as soon as they confirm, on top of the 7-day reminder. If it does not arrive, check that Move-out notice is on for your site.

​

Can the tenant choose their move-out date? — Yes. They choose their physical move-out date, and Stortech calculates the matching last day billed from your notice policy.

​

Can the tenant skip the notice period from the portal? — No. Only an operator can waive notice, if your policy allows it.

​

Can I stop my tenants from scheduling their own move-out? — Yes. A facility setting removes the option from the portal. See Turn off self-serve move-out.
