Report: Security deposits by method

Security deposits collected broken down by payment method: collected, refunded, net held.

The Security deposits by method report breaks down the security deposits you collected over a given period by the payment method used: credit card, pre-authorized debit (PAD), Interac, cash, cheque, bank transfer, and others. For each method, it shows how many deposits were collected, the gross amount collected, refunded amounts, and the net you still hold. Useful for period-end reconciliation, for seeing where your deposits come from, and for tracking refunds.

Where to find the report

Step 1.
From the left menu, open Analytics, then Reports.

Step 2.
Under the Payments category, click Security deposits by method.

What the report contains

Each row corresponds to a payment method:

Method — the payment method the deposit was collected through. The method is derived from the linked payment transaction; when none is associated, the deposit appears under Other.

Deposits — the number of deposits collected for that method.

Collected — the total amount of security deposits collected.

Refunded — the amount of deposits refunded (shown as negative).

Net held — amounts collected minus refunds: the deposit amount you still hold for the period.

Share — the percentage of total collected attributable to that method.

A totals row at the bottom of the table adds up all methods.

Choosing the period and sort order

Step 1.
By default, the report shows the current year. Click Configure to change the period: Monthly, Quarterly, Semi-annual, Annual, or a custom range.

Step 2.
In the same window, under Sort by, choose the row order: Collected (highest first), Deposits (most first), or Method (A → Z).

Export or print

Download CSV exports the table (method, deposits, collected, refunded, net held, share) for Excel or your accounting software.

Print generates a paper or PDF version of the report.

How to read "Net held"

The Net held is deposits collected minus refunds returned. It represents the net flow of your security deposits for the period: what you collected in deposits, minus what you handed back to customers. Collections are counted on their collection date, and refunds on their refund or settlement date.
