When a facility is already running in Stortech but its billing has not been activated yet, its imported rentals are frozen: most of the usual actions are hidden. You can still record the move-out date a customer announces, so it is taken into account when billing is activated.
Who this article is for
Owners and managers of a facility being migrated, between go-live and billing activation. If your facility's billing is already active, this article does not apply: use the regular move-out described in Schedule a move-out.
When to use this
An imported rental stays frozen until the facility's billing is activated. It shows the Pending status and a Migration marker in the Source column of the rentals list.
On these rentals, Stortech hides the actions that depend on a subscription (unit transfer, the regular move-out), because the subscription does not exist yet. The Schedule move-out button stays available: it only records the date the customer announced, so it is not lost before activation.
The Migration tab groups imported rentals whose billing is not activated yet.
Record a move-out date
Step 1.
Open Rentals, then the Migration tab to see only the imported rentals awaiting activation.
Step 2.
Click the rental to open its record.
Step 3.
In the record header, click Schedule move-out.
The dialog states that nothing is billed or sent to the customer.
Step 4.
Pick the move-out date the customer announced, then click Save.
Step 5.
The date appears in the header as Move-out, and the button becomes Edit move-out.
Once recorded, the header shows the date at all times.
Change or remove the date
Click Edit move-out in the header. The dialog shows the date currently recorded. Pick a new date and click Save, or click Remove the date to clear it entirely.
You can change or remove the date as often as you need while billing is not activated. Every change is logged in the rental's Activity tab.
What happens automatically
Nothing is billed. No invoice is created, no charge is triggered, and no amount is calculated.
The customer is not notified. No email and no message is sent. If you want to confirm the move-out to the customer, do it yourself.
The rental is not cancelled and the unit is not released. The customer stays in place, the rental keeps its Pending status, and the unit does not go back on the market.
Gate access is unchanged. Access control does not depend on billing and is not affected by this date.
The date is visible in the list. It appears in the Move Out column of the Rentals page, and an entry is added to the rental's Activity tab.
At activation, the date is applied. If the move-out falls after billing starts, the rental is activated with its end date already in place. Otherwise activation stops and flags the rental so you can decide what to do.

Common issues
The Schedule move-out button does not appear on an imported rental.
Check: billing may already be activated for this rental, or the invitation was cancelled. If the rental shows anything other than Pending with the Migration source, it is a regular rental.
Do: use the regular move-out described in Schedule a move-out.
The date you picked is refused.
Check: the move-out date must be later than the rental's move-in date. The calendar also does not offer past dates.
Do: pick a date after the move-in date shown on the record.
The customer left before billing was activated.
Check: a move-out date on or before the billing start cannot be applied, because there is nothing to bill.
Do: tell your Stortech contact before activation, so the rental is pulled from the batch instead of activated.
Common questions
Does the customer receive anything? No. No email, no message, no invoice. The date stays internal until billing is activated.
Can I still change the date after saving it? Yes, as often as you need, as long as billing is not activated. You can also remove it entirely.
What if I forget to record the date before activation? The rental is activated like the others, with no end date. You will then have to schedule the move-out the regular way, which does bill and notify the customer.
Does the unit become available for booking again? No. As long as billing is not activated and the move-out has not happened, the unit stays occupied.
Does it cut gate access on the scheduled date? No. Access control is not affected by this date.
