The waiting list lets a prospect leave their contact details on the storefront when no unit of the desired type is available.

The waiting list lets a prospect leave their contact details when no unit of the type they want is available. They appear in your Contacts list as a lead, and you reach out manually once a unit frees up.

Who this article is for

Viewing waiting-list leads only needs access to the Contacts list, available to every role. Notifying a lead (sending an email) or creating a rental from a lead needs the Owner or Manager role.

How a prospect signs up

Step 1.
The prospect visits your storefront and picks a unit type with no availability. The Join the waiting list button replaces Rent this unit.

Step 2.
They click it (or go straight to the Waiting list page) and see the form: First name, Last name, Email (all required), and Phone number (optional).

Step 3.
They click Notify me when available. A confirmation email is sent to them.

Notifying a prospect once a unit frees up

When a unit of the requested type becomes available:

Step 1.
Open Contacts and filter by the Leads segment.

Step 2.
Open the lead's record and click Send email.

Step 3.
Write the message, including the direct checkout link to make it easy for them to convert. See Contacts for details on sending a manual email.

Converting a prospect into a customer

When the prospect completes checkout, they automatically become a Customer. The segment switches from Leads to Customers in the Contacts list.

What happens automatically

On sign-up, a contact is created in the facility with lead status, and a confirmation email is sent if an active template exists. No automatic notification is sent when a unit frees up: notification stays manual. Sign-up has no billing effect (no payment, deposit, or mandate) and isn't exclusive: a prospect can sign up for multiple unit types.

What to check: they likely submitted the form twice.

What to do: only one lead record is created; duplicate submissions don't create duplicates. No action needed.

The customer wants to know their position in the queue.

What to check: Stortech doesn't track a queue position.

What to do: explain that sign-ups are notified case by case, with no guaranteed order.

The customer wants to cancel their sign-up.

What to check: the Unsubscribe link is in the emails you send them.

What to do: resend the unsubscribe link, or delete their contact on request.
