Tasks

Tasks are your facility to-do list: reminders, lead follow-ups, inspections, maintenance.

The Tasks section is your to-do list for the facility: reminders, lead follow-ups, inspections, maintenance. Stortech creates some tasks automatically (for example a unit inspection at the end of a booking) and you can add more manually at any time.

Who this article is for

Viewing tasks is available to all roles. Creating, editing, and completing tasks typically requires the Owner, Manager, or Employee role, depending on permission configuration.

Before managing tasks

To assign a task to a team member, that member must be Active in the Team section.

Viewing the list

Step 1.
Open the Tasks section from the main menu.

The Tasks page shows a three-column board: Open, In progress, and Completed. Each card shows the task's title, priority, category (General, Lead follow-up, Unit inspection, Maintenance), due date, and assignee.

Creating a new task

Step 1.
Click New task in the top right.

Step 2.
The New task dialog opens: Task title (required), Medium (priority button; click to toggle between Low, Medium, High), General (category button; click to change), Due date (date picker), Unit (link the task to a specific unit, optional).

Step 3.
Click Create task.

Step 1.
Click a task in the list to open its card.

Step 2.
Edit the fields (priority, category, due date, unit, details).

Step 3.
Click the Open status in the right panel and choose Completed when the work is done. The task then moves to the Completed column.

Reminds you to follow up with a lead.

Often linked to a contact.

Created when a booking ends.

Manual; can be linked to a unit.

What happens automatically

System-created tasks

Unit inspection — created automatically after scheduling a move-out. See the Schedule a move-out article.

Other categories can be created automatically depending on enabled flows (lease signing reminder, failed payment follow-up).

On manual creation

The task appears in the list with Active status.

No email is sent automatically to the assigned member (by default).

The task's history is tracked in its Activity tab.

On completion

The task moves to the Completed column of the board.

Responsible team member.

Common issues

A Unit inspection task wasn't created after a move-out.

Check: does the booking's Activity tab show it was created?

Do: if the inspection is required, create the task manually. If this keeps happening, contact support.

A task stays in the list after being marked complete.

Check: refresh the page.

Do: if it's still active after refreshing, contact support.

A member doesn't show up as assignable.

Check: is the member Active on the team?

Do: confirm their status under Settings > Team. See the Team and roles article.

Tasks keep piling up.

Check: this is normal for an active facility.

Do: filter by category or due date to prioritize. Complete or archive stale tasks.

Common questions

How do I create a new task? — In the Tasks section, click New task, enter a title, adjust the priority, category, and due date, then click Create task.

Why does an inspection task appear automatically after a move-out? — Stortech automatically creates a Unit inspection task when a booking ends. See the Unit inspection article.

How do I mark a task as complete? — Open the task card, click the Open status in the right panel, and select Completed. The task moves to the Completed column of the board.

What task categories are available? — The common categories are General, Lead follow-up, Unit inspection, and Maintenance. The category is clickable from the creation dialog to change it.

How do I link a task to a specific unit? — In the New task dialog, click Unit and select the unit. The task then also appears on the unit's card.

Why doesn't a team member show up as assignable? — The member isn't Active on the team (they may still be Invited). See the Team and roles article.

Does Stortech email the member assigned to a task? — Depends on configuration. No automatic email is sent on assignment by default.
