The waiting list lets a prospect make themselves known when no unit of the desired type is available. The prospect leaves their details on the storefront; they then appear in your Contacts list as a lead, and you contact them manually when a unit opens up.

Common questions

  • How does a customer sign up for the waiting list? On the storefront, when no unit is available for a given type, the Join the waiting list button replaces Rent this unit. The customer clicks, fills the form (first name, last name, email, optional phone), and submits.

  • Does Stortech notify the prospect automatically when a unit opens up? No. Notification is manual. You need to open the prospect's record in Contacts and send them an email with a direct link to checkout.

  • Where do I see prospects signed up for the waiting list? In the Contacts list, Leads segment. Sign-ups appear there automatically.

  • Can the prospect know their position in the queue? No. Stortech doesn't maintain a position. Sign-ups are contacted case by case based on your judgment.

  • How does a prospect unsubscribe? Via the Unsubscribe link typically included at the bottom of the emails you send them. You can also delete their contact from the operator side.

  • Is waiting list sign-up exclusive? No. The same prospect can sign up for multiple unit types. No payment is asked.

Who this article is for

Viewing prospects signed up on the waiting list requires access to the Contacts list, available to all roles. Notifying a prospect (sending an email) or creating a rental from a prospect requires the Owner or Manager role.

How the prospect signs up

  1. The prospect visits your facility's storefront.

  2. If they pick a unit type with no availability, they see the Join the waiting list button instead of Rent this unit.

  3. They can also reach the Waiting list page directly via the link in the storefront.

  4. The page shows:

    - the title Be the first to know!; - a theme picker (Light / Dark); - a form with First name (required), Last name (required), Email address (required), and Phone number (optional); - the Notify me of availability button.

  5. After submission, the prospect receives a confirmation email.

Notify a prospect when a unit opens up

When a unit of the sought type opens up:

  1. Open the Contacts list.

  2. Filter by Leads segment.

  3. Open the prospect's record.

  4. Click Send an email and write the message.

  5. Include the direct link to checkout to make conversion easier.

See the Contacts article for details on sending a manual email.

Convert a prospect into a customer

When the prospect completes their checkout, they automatically become a Customer. The segment moves from Leads to Customers in the Contacts list.

What happens automatically

  • On sign-up, a contact is created in the facility with the lead status.

  • A confirmation email is sent to the customer if the facility has an active email template for it.

  • No automatic notification is sent to the prospect when a unit opens up; notification is manual.

  • Sign-up has no effect on billing: no payment, no deposit, no mandate.

  • Sign-up isn't exclusive: a prospect can sign up for multiple unit types.

What to do

The customer says they were never contacted despite signing up. Why?

Stortech doesn't send automatic notifications.

Notify prospects manually via the Contacts list when units open up.

The customer signed up but doesn't appear in Contacts. Why?

Is the active segment Leads or All?

Check the segment filters. If still missing, contact support.

The customer received two confirmation emails. What now?

They probably submitted the form twice.

Only one prospect record is created; duplicate submissions don't create duplicates. No action required.

The customer wants to know their position in the queue. How do I respond?

Stortech doesn't maintain a queue position.

Explain that sign-ups are notified case by case, with no guaranteed order.

The customer wants to cancel their sign-up. How?

The Unsubscribe link is in the emails you send them.

Resend them the unsubscribe link, or delete their contact from the operator side if they explicitly request.
