A customer's access code (PIN)

View a customer's door access code (PIN) from their record, resend it by email, or generate a new one when needed. Only for facilities using ICT access control.

When a customer has access to your facility's doors, Stortech shows their access code, the PIN, right on their record. You can view it to remind them, or generate a new one if they forgot it, shared it, or you simply want to change it. This section only appears for facilities using ICT access control, and only for customers whose door access has already been activated.

Where to find the code

Step 1.
From the menu, open Contacts and select the customer.

Step 2.
On their record, find the Gate access (ICT) section in the right column (Details). You'll see the PIN (hidden by default) and the access Status: Active, Active from {date}, or Disabled.

Viewing the code

To protect it, the code is hidden (••••). Click the eye icon (Show PIN) next to the code to reveal it, then click again to hide it.

Understanding the status

The status badge distinguishes three cases. Active: access is enabled and usable starting today. Active from {date}: access is enabled, but the customer's rental starts on a future date; the PIN won't open the gate until that date. Disabled: access isn't enabled; the PIN doesn't open the gate. This distinction avoids mistakenly believing a customer whose rental hasn't started yet can already get in.

The same code from the booking's page

The PIN also appears directly on the booking's page (Bookings menu), in the gate access card: hidden by default (••••), click it to reveal it, just like on the contact's page.

From this page you can also resend the customer's existing PIN by email, without changing it: click Resend PIN, under the Access control card. This is useful when a customer says they never received their code, or lost it. The button only appears once the customer's access is already active. To regenerate (change) the code, still use the contact's page (see Generating a new code below): the booking's page doesn't let you change it.

Generating a new code

Step 1.
In the Gate access (ICT) section of the contact's page, click Regenerate PIN.

Step 2.
Wait a few seconds while it updates (the button shows Regenerating...). The message New PIN generated confirms success, and the new code is shown.

A brand-new unit shows no code for its customer

If you just created a unit and a customer who moved in doesn't get a PIN (the Gate access (ICT) section stays empty on their record), the most common cause is that a new unit isn't automatically linked to your access-control system. You need to map it manually, once.

Step 1.
Open your site's Settings, then the Access control section (or Integrations).

Step 2.
Click Edit mappings.

Step 3.
Find the new unit in the list and match it to the corresponding unit in your access-control system.

Once the mapping is done, regenerate or resend the customer's PIN as usual. If the unit doesn't appear in the mapping list, contact support.

Good to know

The change is immediate. As soon as the new code is generated, the old one stops working at the gate. The customer must use the new one.

The customer isn't notified automatically. Remember to pass along their new code (by email, text, or phone) so they can keep getting in.

The code is usually 4 digits, depending on your access system's configuration.

An Active from {date} status means the code is already enabled but won't open the gate until the rental's start date.

If the Status shows Disabled, the code won't open the gate even after regenerating it: you need to restore the customer's access first.

Regeneration is only available from the contact's page; the booking's page only lets you view the current code.

If neither the contact's page nor the booking's page shows the code, the customer doesn't have door access yet, the unit isn't mapped to your access-control system yet, or your facility doesn't use ICT access control.

Resend PIN (from the booking's page) re-sends the current code by email, without changing it. To change the code, use Regenerate PIN on the contact's page.
