Requiring a signed lease before gate access

Turn on a per-facility policy that keeps a customer's access code inactive until their lease is signed. Available for ICT access control.

By default, a customer's gate access code is activated as soon as their rental is paid — even if their lease isn't signed yet. You can require a signed lease to be in place before the code opens the gate. This is a per-facility setting: once turned on, the customer's access code stays inactive until their lease is signed, then it's released automatically.

This policy applies to facilities using ICT access control.

Turning on the requirement

Step 1.
Open Settings > Integrations, then the Access control section.

Step 2.
Turn on Require a signed lease before gate access.

Step 3.
Click Save. The message Access policy saved confirms.

If your facility has no active lease template, a warning appears: customers signing up online won't be able to sign and their access would stay blocked. In that case, set up a lease template first, or unblock rentals manually (see below).

What the customer experiences

Their rental activates and billing starts normally.

​

Their confirmation email is sent without the access code; instead it includes an invitation to sign their lease.

​

As soon as the lease is signed, the customer receives their PIN by email and their gate access becomes active.

Online rentals (e-signature)

When the customer signs their lease online (BoldSign), access is released automatically — you don't need to do anything.

Leases signed offline

For a rental whose lease is signed offline — paper, a manual rental, or even a lease that was still waiting on an e-signature — you confirm the signature yourself:

Step 1.
Open the rental's record. While access is being held, it shows Gate access held — mark the lease as signed to release access.

Step 2.
Click Mark lease as signed.

Step 3.
Access is released and the customer receives their access code by email.

Good to know

Available with ICT access control. The policy applies to ICT facilities.

​

A customer in payment default stays blocked. Signing the lease isn't enough: access is only released if the lease is signed and there's no outstanding rent.

​

Online customers need an active lease template. Without a template, they can't sign and would stay blocked; you can always unblock them with Mark lease as signed.

​

Applies to new activations. Turning on the policy doesn't remove access from already-active customers; it applies to rentals activated afterward.

​

Reversible. Turn off the option to revert to the usual behavior (access activated as soon as payment is made).
