Mark a lease as signed

When a customer signs their lease outside Stortech (on paper, in person, or by email), confirm the signature yourself from the rental's record: reminders stop and gate access being held is released.

When a customer signs their lease somewhere other than Stortech — on paper at the counter, in person, or by email — you confirm the signature yourself from the rental's record. Signature reminders stop, any e-signature envelope still open is cancelled, and gate access being held for the lease is released.

Who this article is for

Confirming a signature requires the Owner or Manager role. Without it, ask a colleague who has it to do this on the rental's record.

Before you start

Have the signed lease on hand. If you have a digital copy (photo or PDF), use the second method below: it stores the document and confirms the signature in one step.

This confirmation is a manual step on your part: Stortech records the lease as signed without verifying any signature. Only use it once the customer has actually signed.

Confirm the signature

Step 1.
Open the rental's record, then the Documents tab in the right panel. The Lease section shows Signature: Unsigned.

Step 2.
Click Mark lease as signed.

Step 3.
A window asks you to confirm and restates the two consequences: future signature reminders will stop, and access waiting on the lease may be released. Click Confirm signed.

Upload the signed lease

If you have a copy of the signed lease, upload it: the file is kept on the record and the signature is confirmed at the same time.

Step 1.
On the same Documents tab, under the Documents section, drag the file into the drop area or click Browse File. JPEG, PNG, PDF and MP4 formats, up to 50 MB.

Step 2.
While the lease is unsigned, a window confirms that this upload records the file as the signed lease. Click Upload and mark signed.

Only upload the signed lease here: any file you drop confirms the signature.

Once the lease is signed, the upload area goes back to being a plain document attachment: you can drop a unit photo or any other file there without touching the signature.

What happens automatically

Signature reminders stop. The rental leaves the Unsigned leases list and the Lease column shows Signed.

The pending e-signature is cancelled. If a lease had been sent for online signing, the envelope is revoked: the customer stops receiving follow-ups for a signature they have already given.

Gate access is released. If your facility requires a signed lease before access, the customer's code becomes active and they receive it by email. A customer with unpaid rent stays blocked: signing alone isn't enough.

The action is logged. The rental's Activity tab keeps a record of the confirmation, under the name of the person who made it.

When the button doesn't appear

The Mark lease as signed button only shows when there is something to sign. It's absent in these situations:

Common issues

The customer signed at the counter but still gets reminders.

Check: does the record's Lease section still show Unsigned?

Do: click Mark lease as signed. This also applies to a lease that had been sent for online signing: the envelope is cancelled and the follow-ups stop.

I marked the lease signed but gate access is still blocked.

​

Check: does the customer have unpaid rent? Access is only released if the lease is signed and the account is current.

​

Do: settle the balance, then check access again.

​

I dropped a photo into Documents and the lease switched to Signed.

​

Check: while the lease is unsigned, any file dropped into Documents confirms it as signed — which is what the confirmation window announces.

Do: contact support to restore the signature state.

Common questions

The customer had a lease to sign online. Can I still confirm a paper signature? Yes. The button is available on any rental whose lease isn't signed yet, including those waiting on an e-signature. The pending envelope is cancelled automatically.

Do I have to upload the signed lease? It isn't required, but it's recommended: you keep proof of the signature on the customer's record.

​

Is the customer notified? They don't receive a confirmation notice. If your facility was holding their gate access, they receive their access code by email as soon as the lease is signed.

​

Can I undo a confirmation made by mistake? Not from the app. Contact support with the rental number.

​

Where can I see who confirmed the signature? In the Activity tab of the rental's record.
