The lease template is the PDF your customers sign electronically when they sign up online. You upload your finalized lease, place the signature fields and data fields (customer name, move-in date, unit number, etc.), and Stortech automatically sends the lease via BoldSign when a customer completes checkout.
Common questions
How do I set up a new lease template? In Settings > Lease, click Upload a PDF, give it a name, select your PDF file. Then place the fields on the document, link them to customer data, and activate the template.
What types of fields can I place on the lease? Standard fields (customer name, move-in date, unit number, Stortech fills them automatically), Automatic fields (handled by Stortech with no intervention), and Custom fields (manually filled, rare).
The customer didn't receive their lease after signing up. What now? On the rental record, in the Rental lease section, click Resend the lease. The button is limited to one send per 24 hours.
Why does a manual rental not have a digital lease? The BoldSign digital lease is only created automatically for online sign-ups via the storefront. For manual rentals, use a paper lease or contact support for a manual send.
What does the customer see after paying for sign-up? The confirmation page shows Preparing your lease during generation, then a Sign the lease now button opens the BoldSign interface.
If I edit the template, do already-signed leases change? No. Signed leases are kept as-is. Template edits only apply to new leases generated after the change.
Why is the Resend the lease button greyed out with a "24 hours" message? Anti-spam limit: only one reminder per 24-hour window. Wait for the next window or contact support for a forced send.
Who this article is for
Configuring the lease template requires the Owner or Manager role. Resending a signature reminder from a rental record requires the same role.
Before configuring a template
Prepare the finalized lease PDF (legal text, terms, clauses). PDF format only.
Understand the available field types: standard, automatic, custom.
Upload a new template
Open Settings > Lease.
If no template is configured, the page shows No template configured with the subtitle "Upload your lease PDF to get started. You can place signature and form fields directly on the document."
Click Upload a PDF.
The New lease template form opens:
- Template name, for example "Standard lease 2026". - PDF file, area to pick the file.
Pick the PDF. The button shows Uploading... during the send.
Step 1: Place the fields
After upload, the editor opens.
Step 1: Place the fields: "Add signature, text, and date fields where they should appear. You'll link them to tenant data in the next step."
The editor instruction: "Place the fields on your lease document. Click Finish when you're done."
Click Finish editing when placement is complete.
Step 2: Link the fields
Step 2: Link the fields: "For each field, choose which data should be automatically filled when a lease is sent."
Three sections:
Standard fields, choose a standard data point (for example Customer name, Move-in date) for each field.
Automatic fields, handled by Stortech, marked Automatic.
Custom fields, manually filled. If none, the message "No custom fields. All fields are standard or automatic." is shown.
Click Save and validate (the button shows Saving... during the send).
Activate the template
Once fields are placed and linked, the state moves to Ready to activate or shows "{N} issue(s) to fix".
Click Activate the template. The button shows Activating... during execution.
Once active, the state shows Active since {date}.
Edit an existing template
On the active template page:
Edit fields, reopens the placement editor.
Edit linking, change the data-to-field links.
Fix linking, appears if validation failed, points to Validation issues.
Replace PDF, upload a new PDF (previous fields need to be replaced).
Resend a lease to the customer
On a rental record, Rental lease section:
Click Resend the lease. The button shows Sending... during execution.
A notification confirms "Lease signature reminder sent successfully" or shows "Failed to send the lease reminder" on error.
Limit: one reminder per 24-hour window. If you try earlier, the button shows "A reminder has already been sent in the last 24 hours".
Note: on a manually-created rental record, the Rental lease section may show "Available only for storefront bookings". Manual rentals don't always have a digital lease.
What happens automatically
On an online sign-up
The customer completes payment.
Stortech creates a BoldSign envelope with pre-filled fields.
The confirmation page shows Preparing your lease during generation.
Once ready, the customer clicks Sign the lease now to sign online.
If generation takes more than a few seconds: "This is taking a bit longer than expected. You can stay on this page while we finish preparing it."
If online signing fails: "We couldn't prepare your lease online. Your booking is confirmed, but online signing isn't available right now." The customer can then sign from their portal or by email.
Lease status
On the rentals list, the Lease column shows:
Signed, lease signed by the customer.
Unsigned, lease generated but not yet signed.
Unsigned leases filter available to track signing delays.
