Facility settings (overview)

Settings gathers your facility's configuration in a five-group menu (Site, Billing, Rental, Communication, Organization): billing, fees, taxes, lease, notifications, integrations, team.

The Settings page brings all of your facility's configuration into one grouped settings menu: general info, billing, late fees, taxes, lease, communication, integrations, and team. It's the place you return to whenever you want to adjust a facility-wide default (billing cycle, move-out notice, access provider, etc.).

Who this article is for

Viewing settings is available to the Owner and Manager roles. Editing most fields requires the Owner or Manager role. The Team and Integrations items are typically restricted to the Owner.

The navigation groups

Settings are organized into five groups, shown in a navigation column on the left of the screen. On a narrow (mobile) screen, the column becomes a "Group · Section" dropdown at the top of the page.

Site › General

Facility information

Facility imageChange image button; shows on the storefront and in some emails.

Facility name (required), Phone number (required), Email (required) — the address that appears at the bottom of every email sent to your customers (booking confirmation, lease, receipts) and the one they can reply to, distinct from your own Stortech profile address which receives your own operator notifications (see Operator notification emails), and Street address, Country, City, Province / State, Postal code.

Google reviews

Show reviews on the storefront (checkbox), Your business (search to link your Google Business profile), Ask for a Google review after move-in (checkbox), Offer a thank-you credit in the email (checkbox).

Step 1.
In the navigation column, under the Site group, click General.

Step 2.
Adjust the fields as needed, then click Save changes.

Billing › Payments & cycle

Step 1.
In the navigation column, under the Billing group, click Payments & cycle.

Step 2.
Choose the Accepted payment methods — for example Pre-authorized debit (PAD) only if you want to force ACSS at checkout.

Step 3.
Choose the Billing cycle method: First of the month (billed on the 1st of each month, first rent prorated), Anniversary (billed on each month's move-in date), or 4-week cycle (billed every 4 weeks).

Step 4.
Adjust the Minimum cancellation period — day options: 2, 5, 7, 14, 15, 30, 60, 90, 120. This is the default notice applied to move-outs.

Step 5.
Adjust Advance booking — how many days ahead a customer can book through the storefront (0 days = same day only).

Step 6.
Click Update to apply.

The billing cadence chosen here does not retroactively affect active bookings. It applies to new bookings.

Billing › Late fees

See the Late fees article for details. Main fields: Enable late fees, Grace period (days), Fee type (flat amount or percentage), Percentage or amount.

Billing › Taxes

See the Taxes article. Add a tax button to create a new applicable tax.

Rental › Lease

See the Electronic lease template article. Points to the facility's BoldSign electronic lease template.

Rental › Move-out inspection

Configures the tenant move-out inspection policy: lets your tenants submit their own move-out evidence (photos via a QR code posted in the unit, or an emailed link). Disabled by default.

Mode — Operator only (disabled), Optional (tenants may submit), Required (tenants must submit), or Auto-accept valid submissions.

Block deposit release without an accepted inspection — when on, the deposit stays held until an inspection (by you or by the tenant) is marked accepted.

Submissions open on move-out day or after the move-out date, and an optional Deadline (days after move-out; leave blank for no deadline).

Click Save policy to apply.

Communication › Notifications and SMS

The transactional email catalog and SMS preferences now share a single page. See Transactional email templates for email content, and Choose which notifications send by SMS for the SMS channel (visible only when your facility's SMS add-on is active). Organization › Integrations

Three supported access control providers: OpenTech Alliance (keypads, SmartLocks, and gate controllers), ICT Protege GX (gate access and PIN management via Protege GX controllers), PDK (2.0 integration based on cardholders and groups for access control).

For each provider, the status is Not configured or Active. The Configure button starts the setup flow; Manage appears once the provider is active.

Initial setup of a provider requires credentials supplied by the vendor. The Configure button is typically greyed out for the operator without these credentials; contact support for setup.

Organization › Team

See the Team and roles article. Team members table with roles Owner, Manager, Employee, status Active or Invited, Remove action, and an invitation form.

What happens automatically

Saving a General field (name, address, image): the change is immediate; the storefront updates on next load.

Changing the billing cycle: new bookings use the new method; active subscriptions aren't converted automatically.

Changing the notice period: applies to new move-outs; already-scheduled move-outs keep their original notice.

Activating an access provider: triggers cardholder (PDK) or PIN (ICT) creation for active bookings.

Common issues

I can't find the "Access control" tab anymore.

Check: access provider setup (OpenTech, ICT, PDK) now lives under Integrations, in the Organization group.

I can't find the "Emails" or "Notification preferences" pages anymore.

Check: both merged into Notifications, under the Communication group. A bookmarked link to either old page redirects you there automatically.

The Configure button for an access provider is greyed out.

Check: the integration isn't provisioned server-side yet (missing credentials).

Do: contact support; initial setup requires credentials from the vendor.

The facility image doesn't show on the storefront.

Check: was it saved? Is the format valid (PNG or JPEG, under 5 MB)?

Do: re-upload and reload the storefront.

The default minimum notice doesn't match my policy.

Check: under Billing › Payments & cycle, the Minimum cancellation period field.

Do: adjust it to your policy. Already-scheduled move-outs keep their original notice.

I changed the billing cycle but existing bookings didn't change.

Check: the change only affects new bookings.

Do: expected behavior. To change an existing booking, contact support.

Common questions

Where do I find my facility's settings? — In the main menu, click Settings. A navigation column on the left groups sections into five groups: Site, Billing, Rental, Communication, and Organization. On mobile, the same sections appear in a dropdown list at the top of the page.

Why doesn't Settings have horizontal tabs at the top anymore? The number of sections outgrew what a horizontal tab bar can display cleanly. The new left-hand navigation column groups sections by theme and stays usable as new sections are added.

What email address do my customers see in their emails? The Email field on the General section determines the address shown at the bottom of every customer email (lease, confirmation, receipts) and the one they reply to. Distinct from your own Stortech profile address (see Operator notification emails). Change it on the General section, then click Save changes.

How do I change my facility's default billing cycle? — Under Billing › Payments & cycle, choose the Billing cycle method: First of the month, Anniversary, or 4-week cycle. Click Update. The change only affects new bookings.

How do I change the default minimum move-out notice? — Under Billing › Payments & cycle, adjust Minimum cancellation period (2 to 120 days). Applies to new move-outs; already-scheduled ones keep their original notice.

How do I set up access control (gate, keypads)? — Under Organization › Integrations, choose your provider (OpenTech, ICT, PDK) and click Configure. Initial setup requires credentials from the vendor; contact support if the button is greyed out.

How do I limit how many days in advance a customer can book? — Under Billing › Payments & cycle, adjust Advance booking (0 to several hundred days). 0 days = same day only.

What happened to the Email templates and Notification preferences pages? — Both pages merged into a single Notifications section, under the Communication group. The SMS channel only appears when your facility's SMS add-on is active; a bookmarked link to the old page redirects you there automatically.

Why doesn't my facility image show on the storefront? — Confirm it was saved (reload the page). If it persists, re-upload a PNG or JPEG under 5 MB.
