Report: Occupancy over time

Track your facility's occupancy month by month, for the whole site or separately for storage, parking and your other space types, then export or print the result.

The Occupancy over time report shows, month by month, the share of your rentable units that were occupied. You can read it for the whole facility or separately by space type, for example storage on one side and parking on the other.

Who this article is for

The report is available to the roles that have access to occupancy reports: Owner, Manager, Staff and Accountant, by default. If you can't open it, ask an Owner to check your role in Team and roles.

Open the report

Step 1.
In the left menu, open Analytics, then Reports.

​

Step 2.
In the list of reports, click Occupancy over time (category Occupancy).

​

By default it covers the current year, from January to the current month, with every space type at your facility.

​

Read the report

Each row is one month and one space type. A facility that offers both storage and parking therefore has two rows per month.

​

Month: the month the row covers.

​

Space type: the category of the units counted on the row, for example Storage or Parking.

​

Occupied units: how many units of that type were occupied that month.

​

Rentable units: how many units of that type can be rented. Unavailable units (out of service, maintenance) are not included.

​

Vacant units: the rentable units that are not occupied.

​

Occupancy: occupied units divided by rentable units, as a percentage. A rate of 90% or more shows in green, a rate under 60% in orange.

Below the table, a totals line shows the number of Months displayed, Avg occupancy, Peak occupancy and Latest occupancy (the last month displayed). These totals combine every space type included by adding up their units, so a small parking lot does not weigh as much as a large storage building.

Filter by space type

Step 1.
Click Space type, at the top right of the report. The list only offers the space types your facility actually has.

Step 2.
Check or uncheck the types to include. The list stays open, so you can change several in a row. At least one type always stays checked.

​

Step 3.
To go back to every type, choose All space types at the top of the list.

​

Above the table, the Space types: line reminds you what is included. The table, the totals, the export and the printout all follow your choice, and the selection is kept if you reload the page.

Change the period or the sort order

Click Filter, on the right above the table. Under Date, choose the period (Monthly, Quarterly, Semi-Annually, Annually or Custom range). Under Sort, choose the order of the rows, by month or by occupancy rate. Then click Apply. The report goes back at most 36 months.

Export or print

Export, then CSV (.csv), downloads the rows shown with the table's columns, to open in Excel or other software.

​

Print produces a paper or PDF version of the same rows.

​

How the rate is calculated

Past months: a past month is measured on its last day, from your rentals.

​

Current month: only units that are actually occupied today are counted. A move-in scheduled for later is not included. A tenant with a scheduled move-out keeps counting until they leave.

​

Imported tenants: a tenant imported during a migration counts from when they were first recorded in Stortech. Occupancy from before the migration may therefore be incomplete.

​

Current inventory: every month uses your current rentable units and their current space types. If you add units or change a unit type's space type, past months are recalculated with the new breakdown. This report is not a frozen historical statement.

Space type: it comes from the unit type. A unit type set to Parking counts as Parking, the others as Storage. A unit type that carries a more specific category, for example Climate-controlled storage or RVs, shows as a separate space type.

Common issues

My parking spots are counted under Storage.

​

Check: open the unit type of those spots (see Unit types) and look at its Space type.

​

Fix: set it to Parking and save. The report reflects the change, past months included.

​

My climate-controlled units are not separated from storage.

​

Check: the report groups units by space type, not by the unit type's climate-controlled option. A climate-controlled unit type counts as Storage unless it carries the Climate-controlled storage category.

​

Fix: to follow one unit type in particular, open the Unit type occupancy over time report instead, in the same Occupancy category.

​

A past month's rate changed since I last looked.

​

Check: have you added or removed units, made units unavailable, or changed a unit type's space type since then?

​

Fix: this is expected, every month is calculated with your current inventory. To keep a record of a month, export the report to CSV at month end.

​

The Space type button is greyed out.

​

Check: is the report still loading? Does your facility have rentable units?

​

Fix: wait for it to finish loading. If the facility has no units yet, add them first in Units.

​

Common questions

Why does the same month appear on two rows? The report shows one row per space type. The totals below the table combine those rows.

​

How do I see only my parking? Click Space type and uncheck every other type.

​

Is the combined rate an average of the percentages? No. It adds up the occupied units and the rentable units of each type, then works out the percentage. Each type therefore weighs according to its number of units.

​

Does a future reservation count toward occupancy? No. A unit counts from the tenant's move-in.

​

How far back does the report go? Up to 36 months. For an imported tenant, only from when they were first recorded in Stortech.
